Terms & Conditions

1. Introduction

These Terms & Conditions ("Terms") govern the use of Flowmeets' services, including but not limited to meeting booking, transcription, coaching, automation, and related features (the "Services"). Flowmeets is operated by Flowmeets AB, Sundbybergs Torg 1, 17237 Sundbyberg, Sweden, org. no. 559574-7444 ("Flowmeets", "we", "us", or "our"). By creating an account, accessing, or using our Services, you agree to be bound by these Terms. If you do not agree, you may not use the Services.

Definitions

  • "Agreement" means these Terms & Conditions together with any applicable Order Form executed between Customer and Flowmeets. If an Order Form exists, it prevails over these Terms in case of conflict.
  • "Policies" means the Privacy Policy, the Data Processing Agreement (DPA), and the AI Policy, as updated from time to time.
  • "Services" means Flowmeets' hosted **conversion intelligence platform** made available online to Customer, including features and integrations provided under Customer's plan.

2. Service Description

Flowmeets is a conversion intelligence platform that helps organizations orchestrate and improve conversions across their customer interactions. The Services include, depending on plan: (i) calendar orchestration and shareable booking/agenda pages, (ii) automated communications around events and meetings (e.g., confirmations, reminders, rescheduling), and (iii) AI-assisted capabilities such as transcription, summaries, coaching, and scorecards.

  • Accounts & Integrations - Customer is responsible for its users, permissions, configurations, and integrations. The Services may interoperate with third-party platforms (e.g., calendar, conferencing, CRM, payments), which are governed by those providers' terms.
  • Automations - Emails may be sent by Flowmeets on Customer's behalf. Flowmeets does not access a user's private email inbox. Replies can be routed to the appropriate team member according to Customer's settings.
  • Transcription & Coaching - If enabled, Customer is solely responsible for obtaining all required consents and complying with applicable laws. These features are assistive; Customer remains responsible for decisions and outcomes.

3. Account Registration & Security

To use the Services, you must register an account and provide accurate, current, and complete information. You are responsible for:

  • Keeping your login credentials secure.
  • Ensuring authorized access by your team members.
  • Notifying Flowmeets immediately of any unauthorized use.

4. Subscriptions, Fees & Payment

Our Services are provided on a subscription basis. Pricing and features are described on our website.

  • Billing – Fees are payable in advance per subscription period.
  • Auto-renewal – Subscriptions renew automatically unless canceled before the renewal date.
  • Taxes – All fees are exclusive of applicable taxes, which will be added where required.
  • Late Payment – We may suspend or terminate accounts for overdue payments.

5. Acceptable Use

You may not:

  • Circumvent technical limits
  • Reverse engineer or attempt to extract source code
  • Use the Services to process unlawful, misleading, or harmful content
  • Use the Services to build a competing product
  • Resell or sublicense the Services except as expressly permitted in writing.
  • Attempt to bypass security measures.
  • Use the Services to process data you are not authorized to process.

6. Customer Responsibilities

You are solely responsible for:

  • Obtaining and maintaining all necessary consents for recordings and transcriptions, in compliance with applicable laws.
  • Ensuring that meeting participants are informed that the meeting may be recorded and/or transcribed.
  • Accuracy and legality of any data you submit to Flowmeets.

7. Intellectual Property

All rights, title, and interest in the Services, including software, designs, and content, remain with Flowmeets or our licensors. No rights are granted except as expressly set out in these Terms.

8. Data Protection

Our handling of personal data is governed by our Privacy Policy and Data Processing Agreement. By using the Services, you agree to these policies.

9. Service Availability & Support

Flowmeets will use commercially reasonable efforts to make the Services available and to provide support according to Customer's plan. Planned maintenance (with at least 48 hours' notice) and urgent security updates may occur. No service level commitments or service credits apply.

The Services depend on third-party providers; issues attributable to those providers are excluded from availability calculations.

10. Termination & Suspension

We may suspend or terminate your access to the Services if you breach these Terms, fail to pay fees, or use the Services in a way that may harm Flowmeets or others.
You may terminate your account at any time, but no refunds are provided for unused subscription periods.

11. Liability & Disclaimers

To the fullest extent permitted by law:

  • The Services are provided "as is" without warranties of any kind.
  • Flowmeets is not liable for indirect, incidental, or consequential damages.
  • Our total liability is limited to the amount paid by you in the 12 months preceding the claim.

12. Governing Law & Dispute Resolution

These Terms are governed by Swedish law. Any dispute shall be finally settled by the Stockholm District Court (Stockholms tingsrätt). If the parties have an executed Order Form specifying a different dispute resolution mechanism, that mechanism applies and prevails over these Terms.

13. Marketing and Publicity

By uploading your logo to the Flowmeets platform, you grant Flowmeets a non-exclusive, worldwide, royalty-free license to display your logo on Flowmeets' website and in other marketing materials solely for the purpose of identifying you as a customer. You may withdraw this permission at any time by providing written notice to Flowmeets.

14. Changes to Terms

We may update these Terms from time to time. When we do, we will post the updated version on our website and update the "Last Updated" date at the top of the page. Continued use of the Services after changes take effect constitutes your acceptance of the updated Terms.
